Rental Inspections

Rental inspections help build a useful record of the property’s condition and identify work that needs attention. The starting report, routine inspections and final inspection serve different purposes. Good records and clear communication help owners and tenants discuss a concern using evidence rather than memory.

At the start of the tenancy

Record the condition of rooms, fixtures, supplied appliances and outdoor areas. Note existing marks and defects and use clear photographs where appropriate. Tenants should check the report and raise anything missing promptly. Keep the agreed record with the tenancy documents so it can be referred to later.

During the tenancy

A routine inspection is an opportunity to check condition, discuss maintenance and record changes. It is not a substitute for specialist building, electrical or compliance assessments. Tenants should report problems as they arise rather than wait for the next inspection.

Lawful notice, access and tenant privacy matter. See Tenancy Services inspection guidance for current access rules. Photographs should focus on relevant property condition and respect the tenant’s belongings and privacy.

What owners should confirm with New Era

  • The agreed inspection arrangements for the property.
  • What the report records and how it is provided.
  • How maintenance recommendations and approvals are followed up.
  • Any relevant insurance inspection conditions that need to be considered.

Give your property manager the relevant insurance information. An inspection schedule alone is not a guarantee of insurance cover; questions about your policy belong with your insurer.

At the end of the tenancy

Compare the property’s condition with the starting record, taking account of fair wear and tear and the applicable responsibilities. Record concerns clearly and discuss them with the tenant. A final inspection does not automatically determine a bond deduction or make every change the tenant’s responsibility.

Act on what is found

An inspection report is most useful when its actions are followed through. Keep repair requests, quotes, approvals, invoices and follow-up notes with the property record. If you are a tenant, use the repair reporting route; urgent and after-hours repairs should be phoned through to Alysha on 021 778 020.
